This privacy policy sets out how Scallywagz Pet Services uses and protects any information that you give to us when you book a service, use this website, access our booking system, or fill in a form.

 

Scallywagz Pet Services is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when booking a service or using this website, then you can be assured that it will only be used in accordance with this privacy statement.

“Data Processors” - Any person, other than an employee of the data controller, who processes personal data on behalf of the data controller.

Your Rights as A Data Subject

1. Right of Access – you have a right to request access to the personal data we hold on file for you. You can also obtain prescribed information on how it is processed.

2. Right of rectification – in certain circumstances you have a right to ask for your personal data to be corrected if it is inaccurate or completed if it is incomplete. You can help us by keeping your personal data up to date using the Pet Sitter Plus software.

3. Right to be forgotten – You have the right to erasure. Note that we have a legal duty to retain or process your information (i.e. If you are still using our services).

4. Right to restriction of processing – you have the right to restrict the processing of your personal data.

5. Right of portability – you have the right, in certain circumstances, to move, copy or transfer your personal data to another organisation yourself.

6. Right to object – you have the right to object to certain types of processing of your personal data. For example, for the use of direct marketing or for statistical generation.

7. Automated decision making – Scallywagz Pet Services may profile your data for marketing and communication purposes. You can of course opt out of these at any time, and clear consent to add you to such processes will be requested.

You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk).  We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.

 

What We Collect and Why

We have ‘Vital interest’ to collect this data as it allows us to understand your needs and provide you with a better service, and in particular for the following reasons:

  • To process your booking.

  • To contact you, or your emergency contact, if required.

  • Internal record keeping.

  • Marketing (i.e. Promotional emails).

 

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

  • Identity Data - includes first name, maiden name and last name.

  • Contact Data - includes billing address, delivery address, email address and telephone numbers.

  • Financial Data - includes bank account and payment card details.

Our Website will collect the following:

  • Cookies (see “How We Use Cookies” below).

  • Identity and contact data when using the enquiries form – this is needed to establish communications and for marketing purposes.

  • Identity and contact data when using the email mailing list sign up form, newsletter sign up form or guide form – this is needed for marketing purposes.

  • When you place an order on our shop, we need your identity, contact and financial data – this is to fulfil your order and to allow any required communications, this may also be used for marketing purposes.

The information provided is stored on the website dashboard which is password protected.

 

Our Phones will collect the following:

  • Your phone number (Unless calling from a withheld number) – this is needed to establish communications.

The information provided is stored on the call log which is password protected and regularly wiped.

 

Our Pet Sitter Plus Booking Forms will collect the following:

  • Your identity and contact data - this is needed to process your booking, allow communications with up to date information and internal record keeping. Your contact data will also be used for marketing purposes.

  • Identity and contact data for an appropriate emergency contact - this is needed to allow communications in the event of an incident when we cannot contact yourself. By providing this data you are confirming this person has consented to their data being passed on to us.

All information collected using the Pet Sitter Plus platform is password protected and can only be accessed by Scallywagz Pet Services staff. Please note that although it is common practice, sending this data via email is not secure; should you wish to use an encrypted service to transfer this data you can do so via WhatsApp or Facebook Messenger.

 

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

How We Use Cookies

A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added, and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

Third Party Links
Our website contains links to other websites of interest, clicking on these links or enabling those connections may allow third parties to collect or share data about you. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites; and such sites are not governed by this privacy statement. When you leave our website, we encourage you to read the privacy notice of every website you visit.

 

Security
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

 

All data which is provided in an electronic form is protected via passwords and stored on appropriate accounts; the passwords for all accounts are only known by the “Information Controller”. “Data Processors” have their own individual usernames and passwords to access information stored on the pet Sitter Plus Booking Forms.

 

Physical data is stored in a locked cabinet in the Scallywagz Pet Services office and is not transferred from this location; only the “Information Controller” holds the key to the cabinet.

 

Any personal data will be disposed of either by electronic deletion (or shredding if physical) 6 years after the date of the last booked service. This time frame allows us to keep the data provided on file long enough to be used within any negligence claims that may be brought upon us (in which an individual has 3 years to make). Please note, this 6-year period will only start from when the person in question hits the age of 21 if they are not already on the event date.

 

The Transfer of Your Data

The only way in which your data will be transferred is to a member of the Scallywagz Pet Services team. All team members have signed a contract with Scallywagz Pet Services showing their understanding on confidential information and data protection.

Secure transfer procedures have been put in place to prevent the loss of your data.

Your data will never be passed or sold on to third parties without your consent.

 

Personal Data Breaches

This could be as simple as sending your phone number to the wrong person or not using the ‘Blind Carbon Copy’ function whilst sending a mass email. In the event of such a break the ICO will be informed. You will only be informed if the breach is likely to result in a high risk of adversely affecting individuals’ rights and freedoms, in which case you will be informed immediately.
